M Pettipoole Design Process

These are the phases and steps we’ll go through on a typical Full-Service (Cooperative) design journey.

Getting to Know You 

  1. Project Questionnaire – A preliminary questionnaire intended to provide me with a broad idea of your goals.

  2. Lifestyle Questionnaire – A supplementary questionnaire intended to provide information about the space and the people who use it, sent once a Discovery Call has been scheduled.

  3. Discovery Call – A brief 20-30 minute phone call to discuss your project in more detail.

  4. Consultation – An (up to) 1 hour consultation at the home/project site to discuss your design goals, budget, and ideal timeline. We’ll also discuss your current design ideas as well as your inspirations, style, and taste to begin narrowing in on a project aesthetic. 

  5. Project Proposal – Following the consultation, you’ll receive an emailed project proposal documenting: 

    • The scope of the project 

    • Design fee – includes Concept Design and Design Development portion of the project

    • Hourly estimate for the Design Implementation portion of the project (Hours are estimated based on past similar projects and the scope of your specific project.)

  6. Client Agreement & Deposit – Once all details have been agreed to, I’ll send an agreement for your signature. Upon receipt of the agreement and your deposit, work will begin.

Concept Design 

  1. Site Survey – I’ll return to the home/project site and take photos and measurements to create a detailed floor plan. Any existing furnishings you’d like to keep in the final design will be documented as well.  

  2. Vision Board – A few weeks later, I’ll email you a vision board of images, ideas, and inspiration reflecting my loose interpretation of how the design will look and feel. I will wait to hear feedback from you before I continue. This will help ensure I’m on the correct track. 

Design Development 

  1. Design Plan – Once the vision board is approved, acknowledging we’re on the same page with our vision and design goals, I’ll begin work on the Design Plan to include: 

    • Room Floor Plan

    • Room 3D Rendering

    • Product Specification List (individual images of each product, including dimensions, finish, pricing, and applicable links)

    • Images/descriptions of proposed vintage/antique furnishings (to provide an idea of the sought after vintage/antique furnishings, but may not reflect the exact product eventually sourced)

    • Product Collage (to show how each product looks together as a whole)

    • Revisions (one round of revisions to reselect any requested products)

  2. Design Presentation – We’ll meet again for a detailed discussion of the proposed Design Plan. Digital images of the floor plan, 3D renderings, products, as well as all applicable paint colors, upholstery, wall-covering, millwork etc. samples will be presented. Estimates for any necessary trade work and a proposed total expense for the project will also be provided. You’ll receive a PDF with all of the same information. Generally I give 72 hours to request any changes.

Design Implementation 

  1. Product Procurement 

    • Client procurement - You’ll receive a recap email detailing the products you need to order. I’ll provide a spreadsheet with vendor information where you can log expected ship dates.

    • Designer procurement - If your plan includes them, I’ll begin hunting for any unique or secondhand pieces, providing pictures and pricing for your approval before purchasing. In some cases, I may connect you with the item seller for direct payment. Additionally, due to their nature and lack of warranty, purchasing used items does carry some risk. I always do my best to be discerning when recommending vintage or antique goods.

  2. Trade Work

    • Upholstery/drapery - I will manage communication with my upholsterer/seamstress regarding any upholstery or custom drapery necessary for your project. 

    • Any additional trade work (i.e. wallpaper installation, carpentry, electrical etc.) - use your trusted professional, or reach out to one of mine, I’ll provide a list. I will consult with the tradesperson as needed but I will not manage their relationship to the project, and they should bill you directly.

  3. Installation Day – Once all the products have arrived and necessary trade work has been completed, I’ll perform a final installation to include: 

    • Insuring all furnishings are installed properly

    • Styling your space with art and decor

    • Providing a prop sheet with pricing for any additional items used to style your space. You may use the sheet to determine any items you’d like to keep and I will return to retrieve any items you choose not to keep. The total for items kept will be included in the Final Invoice. Photoshoot

  4. Photoshoot – Following Installation I will return with a photographer to document the project for my professional use. There will be no cost to you for this portion of the project.

How We’ll Stay in Touch

Weekly Recap Emails – Each Friday I’ll send out an email with progress updates and a summary of how much headway we should expect to make in the coming week. 

Shared Google Doc – Used to coordinate shipment and tradework dates. Enter these as they are scheduled, so we can be sure everything happens in the correct sequence.

Phone Calls and Emails – As non-emergency questions or needs arise, a phone call or email is my preferred form of communication. Phone calls will be answered/returned anytime during my office hours which are MWF 9am-2pm central. Email replies will be delivered within 48 hours, usually quicker.

Text Messages – Used sparingly. (Email is much better for me, as I often reference correspondence when working on a project.)

Pricing 

Deposit – $300 non-refundable deposit, upon receipt I’ll schedule your project.

Design Fee – Following the Design Presentation, I’ll send an invoice for the agreed upon work and amount.

Design Implementation Hourly Fee – Design Implementation services will be billed at my hourly rate of $75 and invoiced monthly. 

Including, but not limited to:

  • Additional rounds of revisions after preliminary round of revisions (1 revision is included in the Design Fee) 

  • Site visits to check on project/product status

  • Scheduling and meeting with tradespeople

  • In-person shopping/returns

  • Product installation/styling

Final Invoice – A final invoice including any remaining billable hours and props purchased will be sent following the final installation.
